Assistant to Editorial Director

The Hollywood Reporter Editorial Assistant reports directly to the Editorial Director and is responsible for all The Hollywood Reporter’s editorial administrative work as well as editorial tasks put forth by the Editorial Director

 

What you’ll do:

  • Maintains schedules for the Editorial Director (ED): Schedules meetings, keeps ED apprised of upcoming meetings and alerts ED to any changes in schedule
  • Performs other assistant duties for ED as needed: answering phone, picking up lunch, coordinating car travel, making business travel plans, greeting visitors
  • Manages expense reports for ED and files in timely manner
  • Files all invoices and contracts and submits to ED for approval
  • Coordinate with HR for miscellaneous tasks including office supply needs, new hire setup, and technical needs
  • Manages and maintains issue archives
  • Attends daily morning staff meeting and makes sure that ED  are prepared for meeting
  • Compiles document of each issue’s content for purpose of weekly press call
  • Assists with daily rollout of magazine content online
  • Assists ED with weekly issue close (circulating pages, ordering dinner, etc) when needed
  • Transcribes interviews as needed
  • Contributes regularly to weekly print issues and The Hollywood Reporter
  • Assists Deputy Managing Editor with the management of interns  
  • Conducts research and assists editors with special projects or packages as needed

 

Your experience and skills:

  • Must be able to work and multi-task in a fast-paced newsroom while supporting ED as needed
  • Must demonstrate a high level of maturity and professionalism while interacting with all levels of colleagues, executives, and office guests and be seen as knowledgeable and capable of handling sensitive, critical information
  • Must be proactive, flexible, and adaptive in the rapid environment of weekly print magazine and website
  • Must be self-directed and independent with the ability to anticipate needs and take proper action
  • Must be highly organized and detail-oriented
  • Must possess excellent writing and editing skills and understanding of Billboard content cross all platforms
  • Prior magazine and/or administrative experience preferred
  • Ability to use e-mail and calendar management tools across platforms
  • Proficiency in Word, Excel, Google Docs, and Outlook
  • Familiarity with HTML and experience working with a CMS a plus
